Behind the Scenes: Building a Fully Customizable Cheer Coach Planner (Version 2 Coming Soon!)

I see you. You’re currently juggling a roster of twenty-four athletes, three different competition deadlines, a spirit week schedule that seems to change by the hour, and, let’s be real, probably a mountain of laundry at home that hasn’t been folded in four days.

We’ve all been there. That feeling of "I love this sport, but I cannot find my pen or my practice plan" is exactly why Coach Julie Co. exists.


I’ve spent the last few months listening to your feedback, looking at my own chaotic sidelines, and asking one big question: How can we make staying organized even easier and more personal?


The answer? Version 2 of the Cheer Coach Planner.


I am so incredibly excited to pull back the curtain and show you what’s been happening behind the scenes. We aren’t just "updating" a product; we are completely reimagining how you manage your season.


Why "In-House" Changes Everything

One of the biggest shifts for Version 2 is that everything is now made in-house.

In the past, like many small businesses, I worked with outside printers. It worked, but I always felt a little disconnected from the final product you held in your hands. I’m a bit of a perfectionist (aren’t we all, as coaches?), and I wanted to be the one ensuring every coil is tight and every page is crisp.


By moving production in-house, we’ve achieved two major things:

  1. Unmatched Quality Control: I am personally testing the paper weight, experimenting with the durability of the cover pages, and making sure the binding can survive being tossed into a gym bag or dropped on a wet sideline.

  2. Ultimate Customization: Because we are building these planners right here, we don't have to stick to "cookie-cutter" templates. Each order is fully customizable to your specific needs.


Seriously, the level of control we have now means that when you receive your planner, it’s not just a product, it’s a tool that I have personally verified is ready for the "trenches" of coaching.


The Power of a Neutral Base (And Why You’ll Love It)


Let’s talk about aesthetics.

In Version 1, I leaned into some specific colors and patterns. But here’s the thing I realized: every team has its own identity. One week you’re rocking Maroon and Gold, and the next you’re at a clinic surrounded by Royal Blue.

For Version 2, I decided to go all-neutral.


Wait: don't worry! It’s not "boring." It’s strategic. By using a base of sophisticated greys, crisp whites, and desaturated tones, the planner becomes a professional canvas. It looks great on a boardroom table during a school board meeting, and it looks even better on your clipboard at practice.


A neutral base means:

  • Professionalism: You’ll feel like the CEO of your program (which you are!).

  • Reduced Visual Clutter: When your life is chaotic, your planner shouldn't add to the noise.

  • Versatility: It works for any school, any mascot, and any season.


But I know what you’re thinking... “Julie, I need my school spirit!”

Don’t worry. I’ve got you covered.


Introducing: The Custom Sticker System


This is the part I’m most excited about. Since the base of the planner is neutral, we are launching an optional colored sticker system.

You can now purchase sticker sheets that match your team colors.


Want to highlight competition days in bright Crimson? Do it. Need to mark stunt group evaluations in Forest Green? You’ve got it. This allows you to customize the interior of your planner to match your school spirit without the entire book being locked into one color scheme.


It’s the best of both worlds: a professional, "grown-up" planner with the fun, customized pops of color that make cheerleading so vibrant.

Pro Tip: Use the stickers to color-code your life: one color for varsity, one for JV, and one for those dreaded administrative meetings.


Functional Design


If you’ve read my previous post on how I designed a planner that actually works, you know that "clipboard-ready" is my middle name.

In Version 2, we’ve doubled down on functionality. We’ve been testing different paper types to ensure your favorite pens don't bleed through and that the pages don't curl after a month of heavy use.


We’re keeping (and improving) the core features you’ve asked for:

  1. Roster Management: Keep all your emergency contacts and shoe sizes in one spot.

  2. Practice Prep: No-fluff layouts that let you plan a 2-hour practice in 5 minutes.

  3. Competition Trackers: Stay on top of registration, music licensing, and travel logistics.

  4. Customizable Cover Pages: You choose the look that fits your vibe.


We are taking the "chaos" out of the equation so you can focus on what you actually love: coaching your athletes.

I am in the final stages of testing. I’m currently "living" in the prototype of Version 2 to make sure there isn't a single detail missed.
